At RunningFoto ("we," "our," or "us"), we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website (runningfoto.com) and use our photography software platform.
Because our platform serves two distinct groups, this policy applies to both Photographers (our direct customers who use our platform) and Runners (end-users who view, search for, and purchase photos).
1. Information We Collect
From Photographers:
- Account Information: Name and email address. We do not request your password.
- Billing Information: Payment details processed securely via our payment processor (Stripe). We do not store full credit card numbers on our servers.
- Business Data: Event names, uploaded photographs, custom domain preferences, and sales metrics.
From Runners (End-Users):
- Contact Information: Email address provided during pre-registration or checkout.
- Transaction Data: Purchase history and digital receipts.
- Search Data: Bib numbers entered to search for event photos.
- Biometric Data (Selfies): Images uploaded voluntarily to utilize our AI facial recognition search feature (see Section 2).
2. Biometric Data & Facial Recognition
To help Runners easily find their event photos, RunningFoto utilizes an AI-powered facial recognition engine. We take the handling of this biometric data very seriously:
- Strictly for Matching: When a Runner uploads a selfie, we map the facial geometry solely to compare it against the photographs uploaded by the Organizer/Photographer for that specific event.
- No External Training: We do not sell your selfies, nor do we use your facial data to train external AI models.
- Data Retention: Uploaded selfies and the associated facial geometry data are kept temporarily for the duration of your search session and are permanently deleted from our active servers within 30 days of the event concluding, or immediately upon your request.
3. How We Use Your Information
We use the collected information for the following purposes:
- To provide, operate, and maintain our platform.
- To process transactions and send related information, including purchase confirmations and photo download links.
- To send automated "Pre-Race Alerts" when event photos become available (only if you have opted in).
- To detect, prevent, and address technical issues or fraudulent activity.
4. Information Sharing and Disclosure
We do not sell your personal data. We may share your information only in the following situations:
- With the Photographer: When a Runner purchases a photo, their email and purchase details are shared with the specific Photographer who hosted the event to fulfill the order and provide customer support.
- Service Providers: We share data with trusted third-party vendors who assist us in operating our platform, such as cloud hosting providers and payment processors (Stripe).
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.
5. Your Data Rights
Depending on your location, you have the right to access, correct, or delete the personal information we hold about you. You also have the right to withdraw your consent for us to process your biometric data (selfies) at any time.
